MIGRATE QB
DESKTOP
INTO QBAI.
Move from QuickBooks Desktop into QBAI with a guided migration wizard, or start with QB Desktop reports while you plan. Use historical archive, full-ledger, and clean-start paths, plus accounting, reporting, controls, and close tools after cutover.
Close and reconcile
Finish the month in QuickBooks Desktop, reconcile bank and credit card accounts, and decide the cutover date.
Extract QuickBooks
Run the QBAI desktop extractor to capture company data, transaction detail, and reconciliation report snapshots.
Choose migration path
Pick historical archive plus fresh start, full-ledger migration, or clean start from the in-app migration wizard.
Sync and validate
Run QBAI sync, review migration health, check record coverage, and fix mapping gaps before go-live.
Confirm balances
Verify opening balances, open AR, open AP, inventory, bank accounts, tax, 1099, audit trail, permissions, and GL readiness.
Go live in QBAI
Invite the team, lock the cutover plan, and start running estimates, orders, invoices, bills, purchasing, inventory, bank import, reports, and GL in QBAI.
Historical archive + fresh start
Keep old QuickBooks transactions searchable for reports, AI, and audit support, then run new accounting in QBAI after go-live.
Full ledger migration
Bring imported transactions into the operating ledger, review unusual records, and reconcile them to posted GL before cutover.
Clean start
Start fresh with selected master data, open AR/AP, banks, inventory, parts catalog, and opening balances instead of old noise.
Excel/CSV
Import useful lists by tool and keep export flexibility for audit support, CPA review, backup, and external systems.
Reporting-only start
Use QBAI for QB Desktop dashboards, AI chat, exports, customer order history, anomaly reports, and management visibility before changing daily accounting.
Operations rollout
Add parts catalog, vendor sources, inventory locations, budgets, KPIs, role groups, and close controls around the migration plan.
Choose the right cutover
Keep QuickBooks as searchable history, migrate the full ledger, or start fresh with selected master data and opening balances.
Health checks before go-live
The app checks extractor coverage, mapping gaps, GL readiness, bank reconciliation, inventory, tax, 1099, access, audit trail, and open balances.
Operate after migration
QBAI includes AR, AP, estimates, sales orders, purchase orders, inventory locations, parts catalog, customer order history, bank import, reports, audit log, budgets, KPIs, close review, and GL.
How long does a QuickBooks Desktop migration take?
Extraction and first review can happen quickly, but production cutover should wait until month-end close, bank reconciliation, opening balances, and migration health checks are complete.
Can I keep historical data when migrating?
Yes. QBAI can keep QuickBooks history as searchable reference data for reports and AI chat while new transactions run in the accounting module.
Can I use QBAI before I migrate?
Yes. You can start with QB Desktop reporting and migration health, then decide later whether to keep using QB Desktop, migrate the full ledger, or start fresh in QBAI.
Can I migrate only a subset of QuickBooks data?
Yes. The clean-start path lets teams bring over selected master data and opening balances instead of every historical transaction.
What if my QB Desktop has custom fields?
The extractor captures QuickBooks custom data where the company file exposes it. QBAI stores raw history and maps fields into accounting tables where supported.
Do I need to close my QB Desktop company file during migration?
No. QBAI reads QuickBooks Desktop data through the extractor. For production cutover, run a final extraction after the old company file is closed for the migration date.
Is my data secure during migration?
Yes. Data is protected in transit and at rest, and company data is separated by organization and company-file slot.
READY TO
GO LIVE?
Extract. Report. Cut over. Operate.
One company-file slot includes QBAI accounting software, the QuickBooks Desktop extractor, reports, AI chat, exports, migration health, and controls.
